We take your privacy very seriously and this privacy notice sets out what information we may collect about you when you register for or attend an event that we host, how and why we use that information, and how we protect it. We ask that you read this privacy notice carefully as it contains important information about our data processing and your rights.

What is this privacy notice for?
This privacy notice explains how we use your data in relation to your registration for and attendance at an event hosted by Molten Ventures or a member of Molten Ventures group (together “Molten Ventures”). This Privacy Notice supplements our PRIVACY POLICY.

Changes to the Privacy Notice
We may change this Privacy Notice from time to time. You should check this Privacy Notice occasionally to ensure you are aware of the most recent version that will apply each time you attend a Molten Ventures event. This privacy notice was last updated on 8 December 2022.

What personal data do we collect?
The personal data we process will be the information you provide in order to register for, and attend an event, and may include: 

  • Your title and name, and contact details such as your postal address, email or telephone number 
  • Your job title and role 
  • Your nationality/country of residence
  • Any disabilities we need to take into consideration 
  • Nationality/country of residence 
  • Any dietary requirements
  • Your image or video of you if there is the photography or film at the event 

We will also keep records of communications sent to you by Molten Ventures or that we receive from you in relation to an event you will attend/have attended 

What is the purpose of the processing?
Molten Ventures will process your personal data for the following purposes:  

  • To reserve a place for you at the event 
  • To provide you with information about the event and the participants of the event for which you have registered, including event updates, and possible changes, cancellation or similar information and to respond to you as needed
  • To facilitate the event and provide you with an acceptable service
  • To provide you with information about accessibility, transportation, parking, etc. that may impact your attendance to the event 
  • To align with legislation, for example, under public safety legislation 
  • To monitor the effectiveness of Equality, Diversity and Inclusion at Molten Ventures and across the events Molten Ventures organises. Please note that any data used for this purpose is anonymised 
  • To create a publishable list of participants registered to attend each event, which shall contain only your name and any organisation you represent and which will be shared with other participants to the event and participants in future events
  • With your permission (which may be gathered at the point of sign-up to an event), to share your contact details with other members of Molten Ventures network where we consider such connection would be beneficial to you
  • If you are not successful in securing a place, we’ll let you know and hold your details on a reserve list in case a place becomes available
  • For filming or photography purposes which may be used to promote the Molten Ventures group, across all print and digital platforms 

Where you have provided us with information about your dietary requirements, this data is used solely for the purposes of catering during the events and the provision of this data is optional. There may be filming and/or photography taking place at the event, and broadcast versions may be recorded. Where this is the case, the purpose of such filming/photography is for promotional usage by the Molten Ventures group, across all print and digital platforms. If you do not wish to appear in any film/images captured, please tell us in order that we can take appropriate steps to ensure that you are not included and please do not ask questions during any filmed or broadcast section of the event.
We may sometimes charge a fee to attend an event. If this happens then we may need to process additional personal data relating to such fee, however any payment will be via a third party payment provider, our communications about the event will provide details of what payment information will be needed and the data processor we use to collect payments.
If you are not successful in securing a place, we’ll let you know and hold your details on a reserve list in case a place becomes available.

What is the basis of the processing? 
We rely on different legal basis for the processing of your information which depends upon the purpose of the processing as summarised in this section.
The legal basis on which we process your personal information is primarily for the purpose of pursuing our legitimate interests as a venture capital group which periodically hosts events. Please note that such legitimate interests may include for networking purposes where this is a key element of the event or series of events that you attend. Please see the sections titled ‘What is the Purpose of Processing?’ and ‘Who will your personal data be shared with?’ for further information in this regard
We may ask for your consent to process certain personal information. Where we ask for your consent, you may withdraw it at any time.
We also use your data on the basis that it is necessary to process this information: 

  • To align with legislation 
  • To protect an attendee’s vital interests 
  • To enable tasks to be carried out in the public interest 
  • Where Molten Ventures has a legitimate interest 

We will only process your Special Category data (sensitive information about you, for example any allergies or other dietary requirements) with your explicit consent and/or if it is necessary: 

  • For the establishment, exercise or defence of legal claims 
  • Very occasionally, when it is needed to protect your or another person’s vital interests and you are not capable of giving your consent (for example, in an emergency) 
  • Archiving purposes in the public interest, scientific or historical research purposes or statistical purposes 

Who will your personal data be shared with?
Within the Molten Ventures group, your data is shared only with those personnel who need access for the processing purposes set out above.
We may share your name, contact email address and business name with other members of Molten Ventures network, including other participants to events we run, where we consider such connection would be beneficial to you.
We may disclose your personal data if we are required by law or any regulatory body to do so.
We may share some of the information with external organisations providing services for the event you are attending, in particular we may share your information (including dietary requirements) with catering service if you are attending an event where catering is offered. Data shared with external organisations in the context of Equality, Diversity, and Inclusion work and analysis will be anonymised.
Selected events may be publicly summarised or featured on our website or social media channels, which may display the names and businesses of participants, including past events. Please contact info@molten.vc if you do not wish your name to be displayed, or you wish for your name to be removed from an existing participants list.
We will never pass your details to third parties to market to you.
If we enter into a joint venture with or are sold to or merged with another business entity, your personal data may be disclosed to our new business partners or owners.

How long is your data kept?
Molten Ventures will retain your personal information where there is an ongoing legitimate business need to do so. In order to determine the retention period, Molten Ventures will consider whether there is a contractual need to retain the data, and whether the data is necessary to continue to provide event services to you.
You may request that we delete your personal data at any time. 

Security 
To protect your personal data, we take suitable precautions and follow industry best practices to make sure it is not lost, misused or inappropriately accessed, disclosed, altered or destroyed.

Your rights 

  • the right of access to personal data relating to you
  • the right to correct any mistakes in your information 
  • the right to object to processing which is on the grounds of legitimate interests 
  • the right to ask us to stop contacting you with direct marketing 
  • the right to restrict your personal data being processed in some circumstances 
  • the right to request erasure 

Wherever we rely on your consent to process the personal data you give us, you have the right to withdraw your consent at any time.

We will respond to any rights that you exercise within a month of receiving your request, unless the request is particularly complex, in which case we will confirm this to you within one month and respond substantively within three months.
Please note that exceptions apply to some of these rights which we will apply in accordance with the law. 

Complaints to the regulator
If you do not think that we have processed your data in accordance with this Privacy Notice, you should let us know as soon as possible.
